Tasks

A task is a single piece of work on your board. Every task has a title, and can also have a description, assignees, labels, dates, a checklist, attachments and a linked pull request.

  1. Select the + at the top of a column (Add task), or Add Task in the toolbar.
  2. Enter a title. This is the only required field.
  3. Fill in anything else you need (see below).
  4. Save. The task appears at the top of the column.
Field What it’s for
Title A short summary that shows on the card.
Description The goal, context or notes teammates should know.
Column Where the task sits on the board.
Assignees The people responsible for doing the work. You can pick more than one. Only board members can be assigned.
Labels Colour-coded tags for categorising and filtering. See Labels.
Start date / End date Optional dates for scheduling. They’re for visibility only and don’t trigger anything automatically.
Checklist Sub-steps that can be ticked off. The card shows a progress bar.
Attachments Files such as designs, specs or screenshots. Everyone on the board can see them.
Pull request A linked GitHub PR. See Linking pull requests.
Lock task Stops anyone except the creator and assignees from editing. See Locking.

Cards on the board show the essentials at a glance:

  • the title and labels
  • checklist progress
  • a PR badge when a pull request is linked, plus its state (for example Merged, Changes Requested or Closed)
  • the number of assignees
  • who created the task and when
  • a lock icon if the task is locked

Select a card to open a quick preview. From the preview you can open the full task page, which has the complete details, discussion and pull request information.

Open the task and select Edit (the pencil icon). Change what you need and save. Changes appear for everyone on the board straight away, without a page refresh.

Drag the card to another column, or edit the task and change its Column.

  • You can’t drop a task into a Pull Request Column unless it has a linked pull request.
  • Tasks with a linked PR also move on their own as the PR changes. See How tasks move automatically.

Every task has a status. GH Planner sets it for you as tasks move, but you can change it when editing a task.

Status Meaning
Pending Not started, or waiting for review.
In Progress Being worked on.
Completed Done.
Blocked Can’t continue until something else happens.
Approved The linked PR has been approved.
Changes Requested A reviewer asked for changes to the linked PR.
Merged The linked PR has been merged.

Break a task into smaller steps with a checklist:

  1. Open the task and select Edit.
  2. In Checklist, type a step and add it. Repeat for each step.
  3. Tick steps off as you complete them.

The card shows a progress bar so the whole team can see how far along it is.

Lock a task when you don’t want others changing it, for example while you’re in the middle of the work.

  1. Open the task and select Edit.
  2. Turn on Lock task.
  3. Save.

While a task is locked, only its creator and assignees can edit it. Everyone else can still see it and comment on it. The card shows a lock icon (This task is locked). To unlock it, edit the task again and turn Lock task off.

Open the task page and select Share task to copy a link to it. Who can open the link depends on the board’s visibility:

  • Public board: anyone with the link.
  • Semi-Private board: anyone with the task’s share link, even if they aren’t a board member.
  • Private board: board members only.

Open the task and select the bin icon (Delete task), then confirm. Deleting a task removes its comments too. It doesn’t affect the linked pull request on GitHub.
